Setting up your 2018 calendars
As the end of the year approaches, remember to set up your 2018 calendars.
Note: Until the 2018 calendars are set up, Aura mobile users can't open November 2017 timesheets, and Aura Time users can't open December 2017 timesheets.
Before you set up your 2018 calendars, you should review your 2017 calendars to verify that the year ends on a date that best suits your company. If time has already been added for the last period in 2017, you cannot change the 2017 calendar.
Adding your 2018 calendars
Once you've determined what your 2018 calendars should look like, add them in the Cost program. Depending on the type of calendar your company uses (e.g. bi-monthly, weekly), you may need to make changes to the calendar once it's added.
Keep the following in mind when adding your calendars:
- If the calendar contains a period that has only weekend days, you should merge this period with either the previous period or the next period.
- The year should end on a date that best suits your company's needs.
If you need to change the 2018 calendar, you must do so before timesheets are added. This same rule applies to calendars for specific periods; once a timesheet has been added for a period, you can't change its calendar.
Adding Edit Hours records
Once the 2018 calendars are in the system, you can add your Edit Hours records for 2018. You must add company-level Edit Hours records before you can add lower level (i.e. Office) records.
